Reporting to the Head of Production,  the Resource Manager supports agency resourcing and scheduling, building tools and systems to understand forward-looking capacity, identifying capacity crunches, working with team leads to assign project work, and visualizing & communicating the narrative of overall agency workload to employees.

  • Monitor all committed and prospective work from a high level to provide useful data and strategic recommendations about timing, capacity, and assignments.
  • Work with Team Leads to hire team members onto project work/make assignments.
  • Prospectively identify the capacity-related need for contractors and employees and provide hiring and training recommendations to team lead(s) and HR.
  • Support the orientation of the full team to the rhythm of committed and prospective work.  
  •  Design, evolve, and maintain reporting dashboards and visualizations of committed and prospective work for decision makers, teams, and individuals. 


  • Analyze and manage project requests and deadlines with team leads
  • Iterate on existing visualizations and reporting dashboards and conceive of new ways to synthesize information on forward-looking capacity into usable formats for:
    • The Sales team
    • Team leads
    • Individual team members
  • Ensure all inputs to the visualizations and reporting dashboards are kept up to date on at least a weekly basis (or as appropriate for the tool) so that these tools continue to provide useful information on an ongoing basis. 
  • Use the tools and systems created to understand individuals’ current and forward looking capacity in order to inform and support team leads in making work assignments for themselves and their team members, including earmarking/assigning campaign directors and producers to prospective work at the appropriate time in the sales process and working with other team leads to assign all project roles once work is confirmed.
  • Conduct structured check-ins with Team Leads on a biweekly basis in order to support them in understanding, managing, and planning capacity and assignments for themselves and their teams. 
  • Provide cross team support to team leads in planning and approving staff time off/vacation booking as well as managing and approving overtime for employees.
  • Assist team leads and producers in managing adjustments or reassignments in the case of unexpected absences (e.g. health leave).
  • Understand the bird’s eye view of agency work in order to make hiring recommendations (for contractors or employees) in advance of capacity crunches and to flag important periods of unavailability and important fluctuations in workload.
  • Develop and maintain a method to visualize overall agency workload over time into the future.
  • Manage vendor/freelance sourcing, onboarding, and invoicing.

  • 5+ years agency experience
  • Resourced multiple teams and projects in a creative environment
  • Project management experience; understand timelines and budgets 
  • We’re open to candidates from anywhere in Canada, but with a preference for candidates based in Toronto or Vancouver, followed by Ottawa, Edmonton, Calgary and Winnipeg. The person you report to works in Calgary.


  • Experience working in resourcing or project management software tools


While performing the duties of this job, the employee regularly operates a computer and other office equipment and remains in a stationary position, often sitting (or standing if at a standing desk) for prolonged periods; communication is via email, chat, phone, video, and/or in-person with others inside and outside the agency in order to exchange information; repetitive motions may include the wrists, hands, and/or fingers in order to operate computer and other office equipment.

Salary is commensurate with experience and expected to be in the range of $75,000 – $85,000.
